Terms of Service

These terms cover the Ikon Sales Force field app and the admin console. Both are provided to organizations for their own personnel. If your organization has a written agreement with Ikon Business, that agreement controls where it conflicts with these terms.

Effective date: November 5, 2026

1. Acceptance

By accessing or using Ikon Sales Force, you agree to these terms. If you do not agree, do not use the service. The field app’s in-app notice refers to the operator as Ikon Business Solutions. These pages are the public terms for the product, including the copies linked from Google sign-in, Google Play, and the App Store.

If you use the service for an organization, you confirm that you are allowed to bind yourself to these terms and, where you administer the organization, that you are allowed to bind that organization.

2. The service

Ikon Business (“Ikon,” “we,” “us”) provides Ikon Sales Force, a business-to-business platform for pharmaceutical and healthcare field teams. The service has two applications:

  • Field app. Android, iOS, and the web app at app.ikonsalesforce.com. Reps plan visits, file call reports, present e-detailing, record expenses, and use the other modules their organization turns on. The app stores a working copy on the device and syncs when it is online. An invite code opens the organization that issued it.
  • Admin console. Organization admins sign in at {organization}.ikonsalesforce.com or a custom domain the organization connects. Platform operators sign in at imc.ikonsalesforce.com. The console is used to create organizations, choose modules, invite users, approve devices, set approval lines, configure sign-in, and review fleet activity.

This website, ikonsalesforce.com, describes the product and accepts demo requests. It is not the field app or the admin console.

3. Accounts

Field accounts are created and managed by the organization. You may use an account only as that organization permits, and only for its business. You will keep your credentials confidential and you are responsible for activity under your account. Tell your administrator if you believe the account is being misused.

Requests to create, change, suspend, or delete a field account go to your organization administrator. Ikon does not give field users an independent self-service account outside that organization. How to ask for deletion is described in the privacy policy.

Organization admins and platform operators receive their own accounts. A platform-operator session is accepted only from the platform console. An admin session belongs to one host and is not a session on any other organization.

4. Organizations

The organization that buys the service is responsible for:

  • Who it invites, the roles it assigns, and removing access when someone leaves.
  • Which modules it enables, and the professional contact and product data it loads.
  • Whether sign-in requires location, and whether mock-location checks are on. Location is collected while the field app is in use, for visit reports and for sign-in when the organization asks for it.
  • Approving devices, and configuring sign-in providers it wants its people to use.
  • Having a lawful basis for the workforce, location, and contact data it asks Ikon to process, and for telling its personnel about that processing.
  • The accuracy of data it, or its users, submit.

The organization is the controller of that data. Ikon processes it on the organization’s instructions to provide the service. Each organization is stored in its own database schema.

5. Acceptable use

You will use the service for the legitimate business of the organization that authorized you. You will not:

  • Access an account, organization, device, or record you are not authorized to use.
  • Share credentials, invite codes, or session cookies, or sign in as someone else.
  • Spoof location, hide a mock location, or interfere with visit or sign-in checks.
  • Probe, disrupt, or overload the service, or bypass device approval or tenant isolation.
  • Reverse engineer, decompile, or attempt to extract source code, except where the law forbids that limit.
  • Upload malware, or use the service to break the law or the organization’s own policies.
  • Use data you can see in the app, including doctor and customer records, for any purpose outside your role.

6. Customer data

The organization keeps ownership of the data it and its users submit, including contact records, schedules, reports, expenses, files, and branding assets such as its logo. The organization grants Ikon a license to host, copy, transmit, and display that data only as needed to provide, secure, and support the service, and to meet the law.

Offline copies on a device exist so the field user can work. They are part of the service. They are not a right to export the organization’s data for another purpose.

Ikon Sales Force records visits to healthcare professionals and other customers. It is not a patient medical-record system. The organization is responsible for the content its users put into reports and attachments.

7. Sign-in providers

Password sign-in is always available to an account the organization has created. Google, Microsoft, Apple, GitHub, and Facebook are available only when a platform operator has configured that provider and the organization has turned it on.

A provider sign-in links to an existing account. It does not open a new account, and an unlinked provider account is refused even if the email address matches. Google sign-in uses the openid, email, and profile scopes, and is limited to authentication and linking, as described in the privacy policy. Provider sign-in is also subject to that provider’s own terms. You can disconnect a provider from Security, Linked accounts, in the field app, and from the provider’s own account permissions.

8. Privacy

The privacy policy describes what the field app, the admin console, and this website collect, including location, device identifiers, photos, and Google user data, and how to ask for deletion. The organization is responsible for giving that notice to its personnel where the law requires it.

9. Intellectual property

Ikon and its licensors own the service, including the software, the visual design of the product, and the Ikon Sales Force name. These terms do not transfer that ownership. The organization owns its customer data and the branding it uploads, and Ikon may display that branding inside the organization’s own field app and admin console.

You may not copy the service, resell access to it, or present it as your own product. Feedback you send us may be used to improve the service without any duty to pay you for it.

10. Availability

We work to keep the service available and to sync data reliably. We do not guarantee uninterrupted or error-free operation. We may maintain, update, or change the service, including which modules exist. The field app is built to keep working when the device has no signal; reports stay on the device until they sync. A missing signal, a rejected device, or a declined permission can delay a report, and that delay is part of how the product works.

11. Suspension and termination

Your organization can suspend or remove your access at any time. Ikon may suspend access if you break these terms, if the organization’s contract ends, or if continuing the access would create a security risk. When access ends, your right to use the service ends with it. Sections that by their nature should survive, including customer data, intellectual property, disclaimers, and liability, survive.

12. Disclaimers

The service is provided on an “as is” and “as available” basis. To the fullest extent permitted by law, Ikon Business disclaims warranties, whether express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement. Ikon does not warrant that location fixes, cell-tower readings, or device checks will be complete or free of error.

13. Limitation of liability

To the fullest extent permitted by law, Ikon Business is not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, data, or goodwill. Ikon’s total liability arising out of the service in any twelve-month period is limited to the fees the organization paid Ikon for the service in that period. If the organization paid no fees, the limit is one hundred US dollars.

These limits do not apply where the law does not allow them, including liability for fraud or for death or personal injury caused by negligence. A field user’s claims about employment records, location tracking, or an account the organization issued are claims to raise with that organization. Ikon’s duty for that data is the duty of a processor acting on the organization’s instructions.

14. Changes

We may update these terms. The updated terms are posted on this page with a new effective date and apply from that date. If your organization has a written agreement, a change to these public terms does not amend that agreement. Continued use after the effective date is acceptance of the updated public terms.
